Van & Car Hire – Helpful Hints & Tips!

The booking that we have made for you has been based on the information that you either provided on line or over the phone. If you feel that any of the information provided may be incorrect or inaccurate please call Yellohire immediately. This is especially important if the driver has failed / forgotten to mention any points , bans or convictions that might result in the branch refusing to supply a vehicle at the time of collection. In particular failure to mention IN10 & DR10 convictions can invalidate a booking.

Anyone hiring a 15/17 seater minibus must ensure that the driver has a D1 classification showing on their licence. Without this the hire will be refused.

Collection time

The time shown on your voucher is the time that you are expected to collect the vehicle. There is a 59 minute grace period after which it may be assumed that you are not going to collect the vehicle and the vehicle will be rehired.If you are going to be late please let us know immediately or call the branch on the number supplied.

Please remember that the 59 minute grace period only applies during the stated opening times for the location selected. The location will not remain open beyond these hours for late collection.

Vehicle collection

Please check carefully the condition of the vehicle both inside & out and ensure that any damage / defect (s) has been noted on the paperwork. If you have the facility, take photos as a reference.

Although the depot should have checked everything it is best to double check. Remember that it is the driver who will be held responsible if a vehicle in unroadworthy condition is stopped by the police !!

• Check the condition of all the tyres
• Ensure that the spare wheel is present and in serviceable condition.
• Check & confirm the stated mileage.
• Check all doors & locks.
• Check all mirrors.
• Confirm / check the fuel level. Remember that this is the same level the vehicle must be returned with unless already agreed otherwise.
• If there are any controls / functions that you are unsure about ask a member of staff to explain their use.
• Ensure that you have the contact details to be used in case of an accident / emergency / breakdown
• If applicable check that the tail lift works. Ask for instruction if at all unsure.

Please remember that you will be expected to return the vehicle in the same condition & with the same fuel level. If the vehicle is returned in a state that is anything less then there may be additional charges. This includes the overall cleanliness of the vehicle.

Vehicle return

Please note that there is a 29 minute grace period for the return of the vehicle. After this you may well be charged for an additional days hire.

Take photos of any damage that has occurred whilst the vehicle has been in your care.

• Ensure that the vehicle has been correctly refuelled
• Ensure that the vehicle is checked back in with the driver present.
• Accompany the member of staff who checks the vehicle back in & agree / sign the paperwork.
• If there are any items that cannot be agreed on please take photos if applicable.
• Please take a note of the names of staff members who deal with you.
• If you encounter any problems at the branch which cannot be resolved please call Yellohire immediately making sure that you have have all the details of the incident to hand plus the names of the branch staff you have been dealing with.

All of the above applies to vehicles that are being returned during normal opening hours. If you are returning using an out of hours facility please be aware that you will be held responsible for the vehicle until the branch re opens & is able to check the vehicle back in.
